This policy explains how Dockside Skylights Liverpool collects, uses and looks after personal information when you use this website, ask us about a rooflight or skylight, or have work carried out by us. It is written to meet the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
The data controller is Dockside Skylights Liverpool. We are a service-area business with no public premises, so we do not publish a postal address on this site. You can reach us about anything in this policy by email at info@docksideskylightsliverpool.co.uk or by phone on 0151 380 0761. If you need a postal address to exercise your rights, ask by email and we will provide one.
What we collect and where it comes from
We only collect what we need to answer your enquiry, survey your roof, quote, carry out the work and look after the guarantee.
- Enquiry details. Your name, phone number, email address, postcode or address, and what you tell us about the job, sent through our enquiry form.
- WhatsApp messages. If you choose to contact us on WhatsApp, your phone number, WhatsApp profile name and anything you send, including photos of your roof or home.
- Emails and calls. What you send us by email and notes of what we discuss by phone.
- Survey and job records. Measurements, photos and notes of the roof and rooms taken at the survey and during the work, your quote, any variations, invoices and payment records, and your guarantee certificate.
- Technical information. When you browse the site, our web server records standard technical details such as your IP address, browser type and the pages requested. These logs are used to keep the site secure and working.
We do not collect special category information, such as health details, unless you choose to tell us something relevant to how we carry out the work, such as an access need. If you do, we use it only for that purpose.
How we use it and our lawful basis
- To reply to your enquiry, survey and quote. Lawful basis: taking steps at your request before entering into a contract.
- To carry out the work, take payment and provide the guarantee. Lawful basis: performance of our contract with you.
- To keep accounts and tax records and to notify Building Control. Lawful basis: legal obligation.
- To handle complaints, defend legal claims, and keep the website secure. Lawful basis: our legitimate interests in running the business properly, balanced against your rights.
We do not use your details for marketing unless you have asked us to, and we never sell or rent your information to anyone.
Who we share it with
We share personal information only where it is needed to do the job or where the law requires it.
- Mortaro CRM, which provides our enquiry form and stores the enquiries sent through it. It acts as our processor, handling the data only on our instructions under a written agreement.
- WhatsApp (Meta), only when you choose to message us that way. WhatsApp handles those messages under its own terms and privacy policy, and you can contact us by the form, email or phone instead if you prefer.
- Building Control. Where work is notifiable, the local authority building control team or a registered building control approver is sent the property address, the owner's name and details of the work.
- Manufacturers, where we register a product warranty for you or make a warranty claim on your behalf.
- Our website host, email provider, accountant and bank, who process information on our behalf or as needed to run the business.
- Others where the law requires it, such as HMRC, or where needed to establish or defend a legal claim.
The map on our contact page loads map tiles from OpenStreetMap's servers, which receive your IP address in order to send the tiles. They set no tracking cookies.
Transfers outside the UK
Some of our providers, including WhatsApp, may process information outside the UK. Where that happens, we rely on the protections UK data protection law requires, such as UK adequacy regulations or the International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries that do not lead to work: up to 12 months from our last contact, then deleted.
- Quotes that are not accepted: up to 12 months from the date of the quote.
- Job records, invoices and payment records: for as long as tax law requires, usually six years after the end of the financial year they relate to.
- Guarantee records, including survey notes and photos: for the ten-year guarantee period plus one year, so we can deal with any claim.
- Website server logs: a short period, normally no more than 90 days.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete information, where we no longer have a reason to keep it
- ask us to restrict how we use it, or object to our using it on the basis of legitimate interests
- ask for information you gave us to be passed to you or another organisation in a portable format, where that applies
- withdraw consent at any time, where we rely on consent
To use any of these rights, email us. We will reply within one month, and we will not normally charge a fee. We may need to confirm your identity first.
Keeping it safe
We keep personal information on password-protected devices and accounts, limit access to those who need it to do the work, and use providers that apply appropriate security. Paper records, such as survey sheets, are kept securely and shredded when no longer needed.
Complaints to the regulator
If you are unhappy with how we handle your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
Changes to this policy
This policy will be revised if the way we handle personal information changes, for example if we add website analytics. The date at the top shows when it was last changed. Our cookie policy covers cookies in more detail.
